The Daisy Appeal takes your privacy seriously and we promise to respect any personal data you share with us, or that we get from other organisations and keep it safe.

Developing a better understanding of our supporters through their personal data allows us to make better decisions, fundraise more efficiently and, ultimately, help us to reach our goal of improving research and treatment facilities for the people of Hull, East Riding of Yorkshire and North East Lincolnshire.

The purpose of this policy is to give you a clear explanation about how the Daisy Appeal and its subsidiary collects and uses the personal information you provide to us and that we collect, whether online, via phone, email, in letters or in any other correspondence from third parties.

We ensure that we use your information in accordance with all applicable laws concerning the protection of personal information.

The charity promises to;

  • Always hold your details securely.
  • Only share your information within the Daisy Appeal group.
  • Only get in touch in the ways that you wish, and we will make sure that everything we send to you is relevant to our work, products, services and ways you can support us, such as fundraising activities and research.
  • Always adhere to your current communication preferences.
  • Only analyse your data in order to communicate with you more effectively regarding supporting our work.
  • Stop using your information when requested to do so.

WHO WE ARE

 The Hull and East Yorkshire Medical Research Centre Charity (Daisy Appeal) registered charity number 1095652 in England and Wales was established in 2003 to provide cutting-edge research and state-of-the-art equipment and facilities for the populace of Hull, East Riding of Yorkshire and North East Lincolnshire.  The charity is also a registered company in England and Wales registration number 4017833.

The charity to date has built and equipped an £8 million research and teaching centre which opened in 2008 and in 2014 opened the £4.5 million Jack Brignall PET-CT Scanning Centre.  Both these facilities are based on the Castle Hill Hospital site in Cottingham, East Yorkshire.

The charity is now fundraising to build a £7.2 million Molecular Imaging Research Centre which will produce its own radioactive tracers.  This will allow not only the scanning of patients with cancer but also those with certain heart and neurological conditions, including Alzheimer’s disease.

The charity has one subsidiary, Daisy Medical Research Limited (registered company number 7405698).

 

INFORMATION COLLECTION

 The Daisy Appeal collects information from the public in a number of different ways;

  • When you give it to us directly; you may give us your information in order to sign up for one of our events, tell us your story, make a donation, purchase our products or communicate with us.
  • When you give it to us indirectly; your information may be shared with us by independent event organisers, for example the London Marathon, or fundraising sites like JustGiving, Virgin Money Giving or MyDonate. These independent third parties will only do so when you have indicated that you wish to support the Daisy Appeal with your consent.  You should check their Privacy Policy when you provide your information to understand fully how they will process your data.
  • When you give permission to other organisations to share or it is available publicly; we may combine information you provide to use with information available from external sources in order to gain a better understanding of our supporters to improve our fundraising methods, products and services. The information we get from other organisations may depend on your privacy settings or the responses you give, so you should regularly check them. This information comes from the following sources;
    • Social Media – depending on your settings or the privacy policies for social media and messaging services like Facebook, WhatsApp or Twitter, you might give us permission to access information from those accounts or services.
    • Information available publicly – this may include information found in places such as Companies House and information that has been published in articles/newspapers.

 

The type and quantity of information we collect and how we use it depends on why you are providing it.

The Daisy Appeal will not sell your personal information to other organisations for them to use in their own marketing activities.

Data Protection law recognises that certain categories of personal information are more sensitive.  This is known as sensitive personal data and covers health information, race, religious beliefs and political opinions.  We do not usually collect ‘sensitive personal data’ about our supporters unless there is a clear reason for doing so, such as participation in a marathon or similar fundraising event or where we need this information to ensure that we provide appropriate facilities or support to enable you to participate in an event.

 

WHAT PERSONAL INFORMATION WE COLLECT AND HOW WE USE IT

If you support us, for example make a donation, volunteer, register to fundraise, sign up for an event, we will usually collect;

  • Your name
  • Your contact details; address, email, telephone number
  • Your date of birth

Where it is appropriate we may also ask for information about why you decided to donate to us.  This will never be a mandatory question and you only need answer it if you feel comfortable telling us.

We will mainly use your data to;

  • Provide you with services, products or information you asked for
  • Administer your donation or support your fundraising, including processing gift aid
  • Keep a record of your relationship with us
  • Ensure we know how you prefer to be contacted
  • Understand how we can improve our services, products or information.

If you enter your details onto one of our online forms, and you don’t ‘send’ or ‘submit’ the form, we may contact you to see if we can help with any problems you may be experiencing with the form or our website.

 

CHANGE TO YOUR DATA

From time-to-time we may contact you to ensure that the information you have provided us with remains accurate and up-to-date. The accuracy of your personal information is important to us.

 

KEEPING YOUR PERSONAL INFORMATION

We will keep your personal information only for as long as is required to operate the service in accordance with legal requirements and tax and accounting rules.  Where your information is no longer required we will ensure it is disposed on in a secure manner.

 

CONSENT

The Daisy Appeal will always ask for your consent before we communicate with you.  We will only email or phone you about our fundraising activities if we have an accurate record of your recently and freely given consent to do so.

HOW WE KEEP YOUR DATA SAFE AND WHO HAS ACCESS

We will ensure that there are appropriate technical controls in place to protect your personal details

We will undertake regular reviews of who has access to information that we hold to ensure that your information is only accessible by appropriately trained staff, volunteers and contractors.

We may need to disclose your details if required to the police, regulatory bodies or legal advisors.

We will only ever share your data in other circumstances if we have your explicit and informed consent.

 

LEGAL BASIS AND LEGITIMATE INTERESTS

When we collect and use your personal information, we will make sure this is only done in accordance with at least one of the legal grounds available to us under Data Protection law.

The charity will not sell your data to any third parties, but we may sometimes share your information with our subsidiaries, with trusted services provides and selected partners who fundraise or work on our behalf.  We ensure that any third parties with access to your data are held to strict standards for data use and security.

We comply with requests for the disclosure of personal information where this is required and permitted by law.  This could include requests from law enforcement or tax agencies.  In these circumstances, the request must be submitted in writing and in accordance with the relevant legal requirement.

In certain instances, we may collect and use personal information where this is necessary in our legitimate interest as a charity, this includes being able to;

  • send direct marketing materials to supporters by post or contacting them by telephone for fundraising purposes;
  • conduct research to better understand who our supporters are and better target our fundraising activity;
  • monitor who we deal with to protect our charity against fraud, money laundering and other risks;
  • maintain and administer our donor database and systems.

In all cases, we balance our legitimate interests against your rights as an individual and make sure we only use personal information in a way or for a purpose that you would reasonably expect in accordance with this policy and that does not intrude on your privacy or previously expressed marketing preferences.

If you believe your privacy rights have been violated, you may file a complaint with us or with the Information Commissioner’s Office (ICO) https://www.ico.org.uk

 

 

YOUR RIGHTS TO YOUR PERSONAL INFORMATION

You have a right to ask us to stop processing your personal data, and if it’s not necessary for the purpose you provided it to us for (e.g. processing your donation or registering you for an event) then we will do so.

You have a right to ask for a copy of the information we hold about you, although there may be a small charge for this to cover costs.  If there are any discrepancies in the information we provide, please let us know and we will correct them.

If you want to access your information, please send a description of the information you want to see and proof of your identity by post to; The Charity Manager, Daisy Appeal, Daisy Building, Castle Hill Hospital, Castle Road, Cottingham HU16 5JQ.  We do not accept these requests by email so that we can ensure that we only provide personal data to the right person.

CHANGES TO THIS POLICY

We may update the terms of this policy at any time.  We will notify you about significant changes by sending an email the primary email address you have provided or by placing a prominent notice on our website.  By continuing to use our website you will be deemed to have accepted such changes.

If you are unhappy with our work or something that we have done or failed to do, we want to know about it.  We also welcome your views on what we do well.  Your comments enable us as an organisation to learn and continuously improve our services.
